The Zone4 registration system now includes tools built directly into the registration reports to send emails to registrants. To get started, click the “send email to registrants” button on the reports tab of your registration form, and then the “Create a new Message” button

You’ll be given an editor to type your message contents, and an option to add a header image. Additionally, you can use all the same filtering tools that are available when creating custom reports to specify which registrants your message gets sent to.

When you’re finished editing, hit the send button. You’ll be asked to specify whether this is a promotional email or not. Promotional emails can only be sent to registrants who have opted in to promotional emails. Informational emails can be sent to anybody.

After your email has been sent, it gets added to the queue and will be sent out as server resources allow – it might not be immediate, but it should send within a few minutes.

## Monitoring the progress of an email

After an email has been sent, it will no longer be editable, but you’ll see a banner at the top of the page with a button to show the recipients.

On that page, you’ll see the list of all the email addresses that the message was supposed to be sent to. If the message has been sent successfully, you’ll see the “sent” column change to say that, and the “sent time” column will be filled in.

if a registrant has previously unsubscribed to messages from your club or from this registration form, you’ll see the status column update to reflect that:

If a message will not be sent because registrants have not opted in to receiving promotional emails, and the message is flagged as promotional, you’ll also see that reflected in the status column:

Messages sent through the registration form are also tracked in the cart history – Find the cart for the registrant you are looking for, and click over to the history tab to see sent messages logged there:
